RTO software in Australia: 17 platforms to compare Compare 17 training platforms by purpose, features and demo questions, with RTOPilot our first suggestion for short-course RTOs. Training operations RTO software Australia RTO management software student management system for RTOs training management software Choosing training software starts with the work your team does every day: selling courses, enrolling learners, delivering training, recording assessment and producing reports. A long feature list only helps when those features support your actual delivery model. **Our first suggestion is RTOPilot for short-course RTOs.** Below, we explain that choice, compare all 17 platforms at a glance, and give you specific questions for each vendor. This is a selected Australian market shortlist; it does not cover every product. ## Our first suggestion: RTOPilot > **Start with RTOPilot if your RTO runs public short courses and workplace group training.** Its published combination of bookings, student management and built-in learning makes it a useful first platform to evaluate for that delivery model. The reasons to put it first on your demo list are practical: - **Connected enrolment and delivery:** individual and corporate bookings, scheduling, student and trainer portals, and online learning in one platform. See its [booking management tools](https://www.rtopilot.com.au/solutions/booking-management). - **Routine administration:** USI verification, AVETMISS exports, attendance capture, certificate templates and reminders. See its [student management and reporting](https://www.rtopilot.com.au/solutions/student-management-system). - **Short-course focus:** the vendor explicitly positions the product for high-volume, short-course providers. RTOPilot currently advertises a **2% booking fee capped at $5 per enrolment** for its Business plan. Treat this as a published pricing model, checked on 26 September 2026; confirm payment processing, tax, refunds, cancellations and any other charges in writing. [See RTOPilot’s features and pricing](https://www.rtopilot.com.au/). For qualifications, funded training or CRICOS delivery, include those exact workflows in your trial. Our recommendation is based on published product information and the fit described above; we have not run a common hands-on benchmark across these platforms. ## Compare 17 training platforms Use this table to build a shortlist around your main operational need. RTOPilot is our first suggestion for short courses; the remaining platforms are alphabetical, rather than a second-to-seventeenth ranking. Follow a platform name to its detailed profile.

Identify the Sales+, learning and automation functions included in the quote, then check reporting needs, migration and integration ownership. [Explore Wisenet](https://www.wisenet.co/). ## Choose by delivery model Start with your most demanding workflow, then shortlist two or three platforms to demonstrate it. - **Public short courses and workplace groups:** start with RTOPilot. Compare booking changes, employer access and administration with CourseSales.com or ish onCourse. - **Qualifications, funding contracts or complex student administration:** compare the exact requirements with broader SMS options such as aXcelerate, Ready Student, SELMA, TEAMS, VETtrak or Wisenet. A broad product description does not confirm support for your particular contract. - **Practical assessment and workplace evidence:** include Cloud Assess in your assessment-tool comparison, and test evidence handling in any wider suite you are considering. - **A combined SMS and LMS:** compare the included learning and assessment workflows in eSkilled, RTObase, RTO Grow, PowerPro DUO or Vasto, alongside other suites on your shortlist. - **An enquiry follow-up gap:** consider Student Convert alongside the systems you already use. - **An Allens Training delivery partnership:** assess Training Desk within that agreement, including the business and delivery responsibilities. An SMS manages student records and administration; an LMS handles learning and assessment delivery; a CRM manages relationships and enquiries. These functions can overlap. Choose the complete workflow and clearly assign which system owns each record. ## Compare costs and switching effort A useful quote covers the whole first year and a typical later year. Give every vendor the same learner volumes, staff numbers, sites and required functions. Ask suppliers to itemise: 1. **The licence or usage model:** per enrolment, active learner, user, module or fixed subscription; minimums and growth charges. 2. **Setup and migration:** configuration, data cleaning, importing attachments and outcomes, training and the overlap with your current subscription. 3. **Connected services:** LMS or learning content, website, accounting, API access, messaging and payment processing. 4. **Ongoing support:** service hours, response commitments and charges for configuration changes. 5. **Exit costs:** notice periods, export fees, read-only access and how long records remain available. Model a quiet year and a busy year. For a booking-based price, clarify what counts as an enrolment and how transfers, cancellations, funded learners and employer groups are treated. For a subscription, ask which usage or module changes move you to a higher tier. Request an actual export before signing. It should be possible to understand how student details, enrolments, outcomes, documents, assessment evidence and financial records relate to each other. An export button alone does not establish that you can migrate the records you need. ## Use the same demo checklist Bring an administrator, a trainer or assessor and the person responsible for reporting. Give every vendor the same sample course and learner scenarios, then record what works, what needs configuration and what remains manual. ### Run a full learner journey Create a course date, take an individual and group enrolment, collect the required information, send pre-course learning, record attendance, assess, issue the appropriate document and correct a mistake. Include a transfer, a refund and a learner who does not complete. For short-course examples, use a delivery workflow such as [Provide first aid](/courses/provide-first-aid), [WHS risk management training](/courses/contribute-to-whs-risk-management) or the [Food Safety Supervision Skill Set](/courses/food-safety-supervision-skill-set). The relevant RTO must use its own assessment and reporting requirements. ### Validate reporting and permissions Produce sample files and validate them with your reporting lead. NCVER says its software register uses vendor-supplied information and is not an endorsement. Correctly formatted AVETMISS files can still contain data errors; national compliance does not assure state or territory reporting compliance. [Read NCVER’s conditions](https://www.ncver.edu.au/rto-hub/avetmiss-compliant-software-register). Also ask about the vendor’s roadmap for changes to VET data reporting. Confirm the reports required by your funding contracts or CRICOS delivery rather than relying on a general “compliant” label. Test role permissions, access to sensitive learner information, change history and how backups are restored. Request the written hosting, security and support terms that will apply to your account. ### Pilot the migration Agree a sample migration, reconciliation process, responsibilities and cutover date. Check counts and a selection of individual records, including evidence and financial history. Have staff complete their usual tasks in the proposed setup before committing to the final move. ## How we put this guide together We checked official vendor information on **26 September 2026** and used NCVER guidance to frame the reporting checks. Features described here are published offerings; editions, availability and contract terms can differ. RTOPilot is our first editorial suggestion for the short-course use case explained above. The other platforms are grouped by purpose and listed alphabetically in the comparison, without numerical scores. Suitability suggestions are our interpretation of vendor information, not results from a shared hands-on test. Your own trial, reporting validation and written quote should determine the final choice. The [sources below](#references) link to the product information used.
